This notice applies to anyone who applies for a role through our website, sends us their CV, registers with us, or whose details we find while searching for candidates. It sits alongside our Website Privacy Policy.
Information we collect
- Identity and contact details: your name, email address, phone number, address and LinkedIn or other professional profile.
- Your CV and career details: employment history, qualifications, professional memberships, industry cards and certifications (for example CSCS, PTS or CPCS), skills and training.
- Your preferences: the type of role you want, salary or day-rate expectations, notice period, availability and preferred locations.
- Recruitment records: notes from our conversations and interviews, roles we have discussed with you, feedback from clients and references.
- Right-to-work information: copies of your passport, visa or other documents, where needed to confirm you can work in the UK.
- Payment information: if you work through us on a contract basis, the details needed to pay you, such as bank and tax details or the details of your limited company or umbrella company.
Sensitive information. We do not ask for information about your health, ethnicity, religion or other special categories of data unless it is necessary, for example to make reasonable adjustments for an interview, or where you choose to tell us. Criminal record checks are only carried out where a role legally requires them and you are told beforehand.
Where we get it from
- From you, when you apply through our website, send us your CV, or speak to us.
- From job boards and professional networking sites where you have posted your CV or profile, such as LinkedIn.
- From referees, and from clients who give us feedback after interviews.
- From people who recommend you to us.
If we obtain your details from somewhere other than you, we will tell you and give you a copy of this notice when we first contact you.
How we use your information
- To assess your suitability for roles and contact you about opportunities that match your experience and preferences.
- To introduce you to clients. We will always discuss a specific role with you before sending your CV to a client.
- To arrange interviews, pass on feedback and help negotiate offers.
- To carry out right-to-work, reference and other pre-employment checks a client or the law requires.
- To pay you and manage your assignment if you work through us on a contract basis.
- To keep records required by the Conduct of Employment Agencies and Employment Businesses Regulations 2003 and other laws.
Our legal basis
- Legitimate interests: providing recruitment services to you and our clients, and matching people with suitable roles. We only rely on this where it does not override your rights.
- Steps before a contract and performing a contract: arranging and managing a placement or assignment.
- Legal obligation: right-to-work checks, record keeping, tax and payroll.
- Consent: where we ask for it, for example when you tick the box on our application form. You can withdraw your consent at any time.
Who we share it with
- Clients with vacancies, but only for roles you have agreed to be put forward for.
- Referees, to obtain references you have agreed to.
- Payroll and umbrella companies, and screening or vetting providers, where needed for a placement.
- Service providers who support our business, such as our website host, email, IT and CRM providers.
- Government bodies and regulators, such as HMRC or the Home Office, where the law requires it.
We never sell your information.
How long we keep it
- If we have not placed you in a role, we keep your details for up to 3 years from our last meaningful contact with you. Before then we may ask whether you would like us to keep them for longer.
- If we have placed you, we keep records for as long as the law requires, which is at least 1 year after we last provided work-finding services to you, and up to 6 years for payroll and tax records.
- Right-to-work records are kept for the period required by Home Office rules.
After this we securely delete or anonymise your information.
Automated decisions
We do not make decisions about you using only automated processing. A member of our team always reviews applications.
