What this policy covers
This policy explains how we handle personal information about visitors to bowerecruitment.com, people who contact us, and the people we work with at our clients and suppliers.
If you are a candidate, or you apply for a job through this website, please also read our Candidate Privacy Notice, which explains how we use your CV and career information.
Information we collect
- Contact details and messages you give us when you email or call us, or use the contact form on our website, such as your name, job title, company, email address, phone number and the content of your enquiry.
- Job applications made through our website, covered in detail by our Candidate Privacy Notice.
- Client and supplier information, such as the contact details of the people we deal with and records of our discussions, agreements and invoices.
- Technical information, such as your IP address, browser type and the pages you request. Our hosting provider records this in server logs to keep the website secure and working properly.
- Your cookie choices, so the website remembers them. See our Cookie Policy.
How we use your information
- To respond to your enquiry and keep in touch about it.
- To provide our recruitment services to clients, including discussing vacancies and introducing candidates.
- To manage our relationships with clients and suppliers, including invoicing and keeping proper business records.
- To run, secure and improve our website.
- To meet our legal and regulatory obligations.
Our legal basis
Under UK data protection law we must have a lawful basis for using personal information. We rely on:
- Legitimate interests: running and promoting our recruitment business, responding to enquiries and keeping our website secure, where this is not outweighed by your rights.
- Contract: where we need to use information to enter into or perform an agreement with you or your organisation.
- Legal obligation: where the law requires us to keep or share information, for example tax and company records.
- Consent: where we ask for it, for example for non-essential cookies. You can withdraw consent at any time.
Who we share it with
We do not sell your personal information. We only share it where necessary with:
- Service providers who help us run our business, such as our website hosting provider (IONOS), email and IT providers, under contracts that require them to keep it secure.
- Professional advisers such as accountants, lawyers and insurers.
- Regulators, law enforcement or other authorities where the law requires us to.
- A buyer or successor if our business is ever sold or restructured.
Our website uses Google Fonts to display text. When a page loads, your browser connects to Google’s servers to fetch the fonts, which means Google receives your IP address. Google does not set cookies for this.
International transfers
Some of our service providers may store or process information outside the UK. Where this happens we make sure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement.
How long we keep it
- General enquiries: up to 3 years after our last contact with you.
- Client and supplier records: for as long as we work together and then for 6 years, to meet our accounting and legal obligations.
- Server logs: for a limited period set by our hosting provider, normally no more than a few months.
After these periods we securely delete or anonymise the information.
Keeping your information secure
We use appropriate technical and organisational measures to protect your information, including secure (HTTPS) connections, restricted access and storing uploaded documents outside the public area of our website. No method of transmission over the internet is completely secure, but we work hard to protect the information you give us.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict or stop using your information, or object to how we use it;
- ask us to transfer information you gave us to another organisation; and
- withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, email info@bowerecruitment.com. We will respond within one month. There is normally no charge.
Complaints
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113. We would appreciate the chance to deal with your concerns first, so please contact us before going to the ICO.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
